The Views section in the Contacts module allows users to filter and organize contact data efficiently based on predefined interaction timelines and mentions. This feature enables businesses to monitor and prioritize communication effectively.

Getting Here

Views are usually automatically granted by your Admin or Manager, if not, you will not be able to use these different views.

Steps to Access:

  1. Navigate to the Contacts section on the left-hand menu.
  2. Locate the Views section on the left-hand side of the page

Using the Views

Predefined Views

  • All:
    • Displays the complete list of contacts in your database.
    • Useful for performing actions on the entire contact list or setting up filters for further segmentation.
  • Last interacted < 7 days:
    • Shows contacts who were interacted with in the past 7 days.
    • Ideal for tracking immediate follow-ups or recent communications.
  • Last interacted < 30 days:
    • Filters contacts with whom interactions have occurred in the last 30 days.
    • Helpful for managing short-term engagement cycles or identifying leads that need further nurturing.
  • Last interacted > 30 days:
    • Highlights contacts with no interaction for over 30 days.
    • Useful for re-engaging dormant leads or customers and preventing churn.
  • Mentions:
    • Displays contacts who have been specifically mentioned in tasks, notes, or inquiries.
    • Facilitates follow-ups or reviews on contacts flagged for specific reasons.

View Navigation

  • Selecting a view automatically updates the contact list on the right-hand side.
  • You can still apply additional Filters (e.g., by tags, gender, or custom fields) within the selected view for more granular results.
  • Pagination:
    • Adjust the number of displayed contacts per page using the dropdown at the bottom (e.g., 50, 100).
    • Navigate between pages with the controls at the bottom-right of the contact list.

Exporting Data

To export filtered contact data:

  1. Select the desired View.
  2. Click Import/Export at the top-right corner.
  3. Choose Export, and a CSV file of the filtered contacts will be prepared for download.

Practical Use Cases

  • Immediate Follow-Up:
    • Use Last interacted < 7 days to identify contacts that require quick follow-ups or additional communication.
  • Dormant Contact Re-engagement:
    • Utilize Last interacted > 30 days to create campaigns or tasks to reconnect with inactive customers.
  • Mention Review:
    • Access the Mentions view to find and act on contacts flagged in inquiries or tasks for priority handling.
  • Data Management:
    • Leverage the All view to clean up or update contact information in bulk, ensuring your database stays organized.

Best Practices

  1. Consistent Monitoring:
    • Regularly review contacts under Last interacted > 30 days to avoid losing touch with leads or customers.
  2. Action-Based Mentions:
    • Assign tasks or notes to contacts that frequently appear in the Mentions view for proactive follow-ups.
  3. Data Hygiene:
    • Periodically check the All view to spot duplicate or outdated contact information for cleanup.
  4. Save Filters:
    • Combine predefined views with filters (e.g., tags or phone numbers) to customize how you monitor specific groups of contacts.

  1. What is the difference between Views and Segments?
    • Views are predefined filters based on interaction timelines or mentions, while Segments are user-defined groups of contacts based on specific criteria (e.g., tags, labels, or custom filters).
  2. Can I customize or add my own Views?
    • Currently, Views are predefined. For more customized filtering, use the Segments or apply filters directly to the contact list.
  3. What happens when a contact moves between Views?
    • Contacts automatically update in Views based on their interaction history. For example, a contact in Last interacted < 7 days will move to Last interacted < 30 days after 7 days without interaction.
  4. Can I filter within a specific View?
    • Yes, additional filters (e.g., tags, phone numbers, or custom attributes) can be applied within any selected View to refine results further.
  5. Can I export the contact list from a View?
    • Yes, select the desired View, then click Import/Export and choose Export to download the list as a CSV file.
  6. Is there a limit to the number of contacts displayed in a View?
    • No, all contacts meeting the criteria will appear, but you may need to use pagination to navigate through large lists.
