Segments in the Contacts module of Sanoflow allow users to group and organize their contacts based on static criteria (manually curated) or dynamic rules (based on real-time updates). These segments are essential for targeted communication, campaign personalization, and managing large contact lists effectively.

Getting Here

Using this feature requires Admin, or Manager access, and Users with permissions to preview this section.

Steps to Access:

  1. Navigate to the Contacts section on the left-hand menu.
  2. Locate the Segments section on the left-hand side of the page

Static Segments

What Are Static Segments?

Static segments are fixed groups of contacts manually created and managed by the user. Once a contact is added, it remains in the segment unless removed manually. They are ideal for lists that don't change often, such as VIP clients or attendees of a specific event.

Getting Started

  1. Creating a Static Segment:
    • Use checkboxes to select contacts from the contact list.
    • Assign them to the segment using the "Add to Segment" option.
    • Choose from New/Existing Segments options, to create a new segment or add contacts to existing segment.
  2. Deleting a Segment:
    • Click the three-dot menu (...) next to a segment.
    • Select Delete and confirm.

Dynamic Segments

What Are Dynamic Segments?

Dynamic segments update automatically based on pre-set rules and conditions. They are ideal for scenarios like tracking contacts based on their last interaction, campaign tags, or service preferences.

Getting Started

  1. Creating a Segment & Setting Rules:
    • Define filters like:
      • Last interaction time (e.g., within the last 30 days).
      • Tags (e.g., "botox" or "dental").
      • Services or custom fields.
    • Save the filter by clicking on "Create Segment" at the top, and it will populate automatically.
  2. Editing a Segment:
    • To change the Name of the filter:
      • Click the three-dot menu (...) next to the segment.
      • Select Edit to modify the name.
    • To change the segment details:
      • Open the segment.
      • Click on the Filter button at the top corner.
      • Change the rules/criteria of the segment.
  3. Deleting a Segment:
    • Use the same menu from the three dots and select Delete.

Using Segments

  1. Filter Contacts:
    • Use segments to filter and view specific groups in the contact list.

    • Use dynamic segments to monitor customer behaviors like "Last interacted > 30 days."

Practical Use Cases

  • Static Segments:
    • Grouping clients for VIP invitations or loyalty programs.
    • Storing customer lists from a past webinar.
  • Dynamic Segments:
    • Tracking clients who haven’t interacted in the last 30 days.
    • Auto-updating lists based on tags or labels added to them.

Best Practices

  • Use Static Segments for fixed, unchanging lists to avoid unnecessary management.
  • Opt for Dynamic Segments for real-time tracking or when you need lists that evolve automatically.
  • Keep segment names descriptive to avoid confusion (e.g., "Botox Static" vs. "Last Interacted > 30 Days").
  • Periodically review your segments for relevance.
