Appointment Analytics
The Appointment Analytics Report provides a comprehensive analysis of appointments, grouped and filtered by various parameters. It helps businesses track trends, monitor performance, and optimize appointment scheduling and management.
Purpose
The report allows users to:
- Analyze appointments by location, specialist, service, department, and status.
- Gain insights into appointment trends for different timeframes.
- Identify gaps or bottlenecks in appointment scheduling and completion.
This report is available to Admins, Managers, or users with access to the Reports Module. Restricted users with limited permissions cannot access this feature.
Steps to Access:
- Navigate to the Reports module from the left-hand menu.
- Under the Appointments section, select Appointment Analytics.
- Period: Select a predefined timeframe (e.g., This Month, Last Month) or set a custom date range.
- Group By: Organize data by:
- Location: View data for specific branches or clinics.
- Specialist: Analyze appointments by the assigned professional.
- Service: Break down data by types of services offered.
- Department: Focus on departments such as Dentistry, Cardiology, etc.
- Status: Track appointments that are Booked, Completed, Cancelled, or Rescheduled.
- Location: Select from available branches or clinics.
- Specialist: Narrow down by specific doctors or professionals.
- Service: Choose from the range of services offered (e.g., Consultation, Oral Surgery).
- Department: Focus on relevant departments (e.g., Pediatrics, Orthodontics).
- Status: Filter appointments by their current state (e.g., Booked, Cancelled).
- Graphs and Charts:
- A bar graph provides a timeline of appointments based on the selected grouping.
- A pie chart visualizes proportions of appointment statuses.
- Table View:
- Grouped data displays details such as contact, specialist, service, department, status, and appointment dates.
- Pagination settings allow users to view large datasets efficiently.
- Drop Down Arrow: Allows users to view contacts with appointments matching the filtered views.
- Zoom and Navigation:
- Use zoom controls to focus on specific periods or areas within the graphs.
- Navigate through the data using interactive buttons.
- Use the refresh button to return back to the original view without zoom.
- Location-Based Analysis: Identify which branch or clinic handles the highest volume of appointments.
- Specialist Performance: Track the number of appointments handled by each professional.
- Service Trends: Determine the most requested services in specific periods.
- Status Breakdown: Analyze trends in cancellations, completions, or no-shows.
Data can be exported in CSV or Excel formats for the table, and as an image for the bar graph. Both can be used for external analysis.
Steps to Export Graph:
- Right click on the graph.
- Press on Download.
- The file will automatically start downloading the graph as an image.
Steps to Export the Table:
- Right click on the table.
- Press on Export. (Hint: It's the last option)
- Choose a file type: CSV or Excel.
- The file will automatically start downloading the table.
- Breakdown of appointments by status (e.g., Scheduled, Cancelled, Completed).
- No-show rates over a specified time range.
- Rescheduled appointments and their outcomes.
- Number of appointments handled by each specialist.
- Completion rates for appointments assigned to specific department.
- Average time spent per appointment by specialist or department.
- Volume of appointments by service type (e.g., consultations vs. procedures).
- Completion and cancellation rates for specific service types.
- Revenue generated from different appointment types.
- Appointments segmented by location (e.g., branch performance).
- Trends in virtual vs. in-person appointments.
- Resource utilization at specific locations.
- Peak appointment hours or days.
- Weekday vs. weekend appointment trends.
- Time of day analysis (e.g., busiest mornings vs. evenings).
- No-show rates by day, agent, or service type.
- Cancellation trends and top cancellation reasons.

Filter Combination: (Appointment Status = "Completed") + (Service Type = "Consultation") + (Date Range = Last 30 Days) Report Output: Number of consultations completed in the last 30 days.
Example 2:
Filter Combination: (Location = "Branch A") + (Appointment Status = "No-Show") + (Specialist = "Dr. A") Report Output: No-show rate for Dr. A at Branch A.
Example 3:
Filter Combination: (Status = "Booked") + (Service = "Virtual Consultation") + (Period = Custom Range "Weekend") Report Output: Virtual appointments booked on a weekend.

With the combination of primary and secondary filters, you can generate hundreds of tailored reports for monitoring appointment trends, improving customer service, and optimizing operational efficiency.
